This role supports daily operations by handling front-line administrative duties, coordinating communications, and assisting with general office organization.  Various centralized duties will be supported by this position as well.

The Person:

•    2 years of direct work experience in a receptionist capacity.
•    Office Administration diploma preferred.
•    Strong knowledge of general office procedures involving procurement, travel arrangements, budget management, and so on.
•    Adjusts and are flexible to meet changing work needs and demands.
•    Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.
•    Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint etc.
•    Is fiscally responsible and suggests cost-saving measures.
•    Meticulous records maintenance skills.
•    Superior telephone manners and strong interpersonal skills.
•    Strong written and verbal skills to communicate with all levels of the organization and its executive team.

Compensation:

•    Salary range $45,000 to $55,000/annually.

Position Title: Receptionist (Corporate Office)
Reports To:      Chief Credit Risk Officer

Summary

The Receptionist is the first point of contact for members, visitors, and staff, providing professional and courteous service both in person and by phone. This role supports daily operations by handling front-line administrative duties, coordinating communications, and assisting with general office organization.  Various centralized duties will be supported by this position as well.

Job Duties/Responsibilities

•    Greet members, clients, and visitors in a professional, friendly manner
•    Direct inquiries to appropriate staff or departments
•    Manage incoming calls and route efficiently
•    Maintain a clean, welcoming reception area
•    Schedule meeting rooms and assist with calendars
•    Prepare meeting spaces (coffee, materials, sign-in sheets)
•    Sort, distribute, and send mail/couriers
•    Order and maintain office supplies
•    Perform basic document preparation and printing Submit IT Help Desk tickets via SharePoint homepage
•    Retrieve branch account and transit information via SharePoint tools
•    Order office supplies through eWay and Amazon for Business
•    Coordinate weekly supply and grocery orders
•    Arrange courier shipments using Purolator account procedures
•    Book meeting rooms and external accommodations (Book rooms/accommodations)
•    Access shared resources such as Wi-Fi, team sites, and directories Maintain knowledge of office logistics (door codes, extensions, branch info)
•    Submit requests for basic IT equipment (headphones, etc.)
•    Assist with new workspace setup coordination
•    Basic Transaction knowledge and abilities
•    Assist with logistics for meetings, seminars, training and events
•    Support setup for client appreciation and community events
•    Track RSVPs and attendance lists
•    Monitor shared inboxes or phone lines
•    Relay messages and follow up as needed
•    Support communication flow across departments
•    Maintain filing systems (physical and digital)
•    Assist with templates and contact list updates
•    Provide backup to administrative roles when required
•    Serve as the first point of contact for new hires and escort them to their manager.
•    Adhere to all Vision Credit Union Ltd. policies and procedures.
•    Follow all compliance policies and procedures in relation to Anti-Money Laundering and Anti-Terrorist Financing Guidelines.
•    Assist the Chief Credit Risk Officer with other duties as assigned.

Requirements

•    High school diploma.
•    2 years of direct work experience in a receptionist capacity.
•    Office Administration diploma preferred.
•    Strong knowledge of general office procedures involving procurement, travel arrangements, budget management, and so on.
•    Superior typing and dictating skills.
•    Able to write simple correspondence, including memos, letters, etc.
•    General mathematical skills.
•    Ability to apply understanding to carry out instructions in written, verbal, or diagram form.
•    Adjusts and is flexible to meet changing work needs and demands.
•    Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.
•    Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint etc.
•    Is fiscally responsible and suggests cost-saving measures.
•    Able to maintain filing systems and basic databases.
•    Excellent analytical and problem-solving skills.
•    Meticulous records maintenance skills.
•    Superior telephone manners and strong interpersonal skills.
•    Strong written and verbal skills to communicate with all levels of the organization and its executive team.
•    Strong customer service orientation.
