This role executes Human Resources administration, onboarding/offboarding logistics, recruiting coordination, benefits workflow administration, employee relations file administration. The Human Resources Coordinator ensures accurate, timely, confidential processing and builds repeatable systems (templates, trackers, calendars) that protect executive capacity.

The Person:

•    Minimum 2–3 years of Human Resources or Human Resources‑related administrative experience, preferably in a regulated or multi‑site organization.
•    Demonstrated experience maintaining accurate, complete, and confidential employee records, including digital file management and retention practices.
•    Working knowledge of core Human Resources administrative processes, including onboarding, offboarding, recruitment coordination, benefits administration, and compliance tracking.
•    Strong organizational skills with proven ability to manage multiple priorities, deadlines, and recurring compliance activities.
•    High level of attention to detail and accuracy, particularly when handling sensitive employee and payroll‑related information.
•    Proficiency with HRIS and administrative systems; experience with payroll or Human Resources platforms considered an asset.

Compensation:

•    Salary range $55,000 to $65,000/annually.
•    Comprehensive benefits package.

Position Title:  Human Resources Coordinator    
Reports To:        Vice President of Human Resources

Summary

The Human Resources Coordinator is the operational engine of the Human Resources department. This role executes Human Resources administration, onboarding/offboarding logistics, recruiting coordination, benefits workflow administration, employee relations file administration. The Human Resources Coordinator ensures accurate, timely, confidential processing and builds repeatable systems (templates, trackers, calendars) that protect executive capacity.

Job Duties/Responsibilities

•    Maintain accurate personnel records and digital file structure; ensure retention/archiving processes are followed.
•    Coordinate onboarding logistics and documentation; ensure checklists are completed.
•    Coordinate offboarding logistics and cross‑department notifications (IT access, equipment, etc.), and maintain documentation.
•    Post positions, coordinate candidate communications, and support reference and background processes as required.
•    Coordinate benefits enrollment/changes documentation and workflow; support employee communications and provider interactions as directed.
•    Digitize personnel files, index for retrieval, verify legacy records (e.g., service awards) and prepare retention/destruction lists for approval.
•    Complete recurring Human Resources administrative and compliance activities to support employee lifecycle events and organizational requirements.
•    Maintain Human Resources calendars, trackers, and records related to onboarding, probation, performance reviews, training compliance, service awards, and vacation usage.
•    Administer Human Resources processes within approved systems and platforms, while system ownership and configuration authority remain with designated system owners.
•    Enter, verify, and reconcile employee information and documentation to support payroll, benefits, and compliance processes.
•    Coordinate onboarding, offboarding, and employee changes across departments, including required documentation, access requests, and communications.
•    Maintain workforce documentation and employee‑facing materials, including onboarding resources, organization charts, employee listings, and job descriptions.
•    Adhere to all Vision Credit Union Ltd. policies and procedures.
•    Follow all compliance policies and procedures in relation to Anti-Money Laundering and Anti-Terrorist Financing Guidelines.
•    Assist the Vice President of Human Resources with other duties as assigned.

Requirements

•    Proficiency with HRIS and administrative systems; experience with payroll or Human Resources platforms considered an asset.
•    Strong interpersonal and communication skills, with the ability to work effectively with employees, leaders, and external partners.
•    Postsecondary education in Human Resources, Business Administration, or a related discipline considered an asset.
