The Branch Supervisor or Office Manager oversees and coordinates Member Service Representatives by assigning duties and schedules to ensure efficient front-line operations. Responsibilities include staff training in member service and banking procedures, cheque approvals, handling member complaints, reviewing and balancing daily transactions, and ensuring adequate cash supply in accordance with Vision Credit Union Ltd.’s legal and business requirements. The Person:
• A minimum of two years as a Senior Member Service Representative with some experience in supervising/managing staff.

Position Title: Branch Supervisor or Office Manager
Reports To: Branch Manager/Assistant Branch Manager
Summary
The Branch Supervisor or Office Manager will be responsible for providing supervision and coordination for the activities of subordinate Member Service Representatives. Responsibilities will include the assignment of duties and work schedules to ensure efficient functioning of the front line, providing training to employees in member service and banking procedures, approving cheques for payment, and making adjustments based on member complaints. The Branch Supervisor or Office Manager shall hold responsibility for the examination of member service representatives’ daily transactions for accuracy, consolidating and balancing daily transactions, and ensuring the supply of money for Vision Credit Union Ltd. needs based on our legal requirements and business demands. The Branch Supervisor or Office Manager shall also provide member service elements in the transaction of banking functions while following specified procedures. The Branch Supervisor or Office Manager will provide exceptional quality, positive, and friendly experiences to all members as well as consistent accuracy.
Job Duties/Responsibilities
• Implement efficient working processes, co-ordinate, assign, and review the work of member service representatives.
• Ensure employees are trained in cross-selling credit union products.
• Examine and verify accuracy of member service representatives’ work and authorize routine payments, credits, deposits and withdrawals.
• Establish work schedules for subordinate staff.
• Promote the credit union services and assist members with complex transactions such as estate accounts, business accounts, common share accounts, etc.
• Resolve member complaints and ensure information provided is accurate.
• Attend supervisor meetings and train/relay new procedures or products while identify training needs in job duties and company policies.
• Ensure joint custody is maintained, cash limits are monitored, combinations are recorded, changed, opened and closed, and opening procedures are conducted.
• Assist in the interpretation of Branch operations, Personnel Policy Manual, etc.
• Assist in the selection and termination of employees, as well as employee performance management.
• Resolve problems or discrepancies concerning members’ accounts.
• Provides exceptional customer service.
• Adheres to bank policy and procedures, security policy and procedures to protect members and avoid losses to the credit union.
• Balances the vault on a daily basis.
• Accurately completes and submits branch reports and audits.
• Maintains teller and branch cash limits and coordinates cash shipments/deliveries.
• Promotes teamwork and works well with others.
• Ensure Money Laundering and FINTRAC regulations as well as reporting are enforced and reported in an accurate and timely manner.
• Accurately open and close member accounts while completing forms in accordance with loss prevention procedures.
• Adhere to all Vision Credit Union Ltd. policies and procedures.
• Follow all compliance policies and procedures in relation to Anti-Money Laundering and Anti-Terrorist Financing Guidelines.
• Assist the Branch Manager/Assistant Branch Manager with other duties as assigned.
Requirements
• High school diploma.
• A minimum of two years as a Senior Member Service Representative with some experience in supervising/managing staff.
• Customer Service experience.
• Cash handling or sales experience.
• Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
• Strong communication skills.
• Ability to prioritize and make on-the-spot decisions regarding member transactions, weighing member satisfaction issues with credit union exposure to loss or fraud.
• Mathematical skills required.
• Attention to detail in all areas of work.
• In-depth knowledge of all bank deposit products and policies.
